What we get asked most about the multi-channel inbox.

How do the cold/warm/hot/lost tags work?
Every incoming message goes through Claude (Anthropic). The lead is automatically labeled 🔥 hot, ⭐ warm, ❄ cold or 💀 lost — with auditable textual evidence ("hot because they said 'mortgage approved for $300K'"). The temperature sorts your inbox · you reply to the hot ones first. For leads you closed, the kanban's closed_won and closed_lost statuses mark the final outcome.
Do I need a WhatsApp Business API account?
Not always. For low volume, wa.me links work with zero setup · you use your current number and skip verifications. For high volume or multiple agents at the same time, official WhatsApp Business API · we help with the application to Meta · 3-7 days for approval. AI tags and attribution work in either case.
Can I keep my current number?
Yes. With wa.me links you use your direct number. With Business API you also keep your number (Meta migration process · 3 days). The only thing you CAN'T do is have WhatsApp Mobile + Business API on the same number · but you can have 2 numbers (personal + business).
Does it comply with Meta's anti-spam policies?
Yes · strictly. We only send messages to clients who started the conversation (Meta's "24h session window" rule). For proactive messages outside the window, we only use templates pre-approved by your WABA account. No spam, no bans, no risk of losing your account.
How many chats can I handle simultaneously?
Team plan: 1,500 active chats/month. Brokerage plan: unlimited. A chat counts as "active" if it had at least 1 message in the last 30 days. Archived or closed chats don't count. Multi-agent from the Full plan (5 agents · 25 agents Brokerage · unlimited Enterprise).
What if the client doesn't reply after first contact?
After 72h without a reply, the lead automatically moves to "cold" status in the kanban · but stays available to reactivate at any time. You decide when to reactivate it manually from the inbox.
How much does WhatsApp Business API cost?
Meta charges by category: 1000 messages/day free, then per usage · service messages (reply to client) $0.005, marketing messages (proactive with template) $0.025, utility messages (reminders) $0.008. Average for a mid-sized agency: $15-40/month in Meta charges · on top of the Orkasa plan. We show the Meta cost in your dashboard.
Who sees my messages? Is it secure?
Your messages are encrypted end-to-end between Meta and Orkasa via official API. Your team only sees the chats assigned to its workspace (independent broker only sees their own · agency admins see all the team's). We don't use content to train third-party AI models · AI temperature runs on private Supabase infrastructure. Compliant with GDPR and local data protection laws.
